Privacy Policy
Version 2026-08-26.3. Effective August 26, 2026. This policy explains what information Pool Route Marketplace ("PRM") collects, how we use it, who we share it with, and the choices you have.
1. Who we are
Pool Route Marketplace ("PRM," "we," "us") is operated by Pool Route Marketplace LLC. Marketplace intellectual property is licensed from COL323 Global Holdings LLC. This policy explains what information we collect through poolroutemarketplace.com, how we use it, who we share it with, and the choices you have. Questions: hello@poolroutemarketplace.com.
2. Information you give us
We collect information you provide directly: account details (name, email, password); listing details you submit about your route and business; inquiry and contact form submissions (name, email, phone, buying timeline, available cash range, message contents); messages you exchange with other users through the platform; email newsletter signups; buy box search criteria; office hours RSVPs; and Learning Center activity such as course progress and quiz results. If you register as a broker, we collect your brokerage details and license or registration information, and we record your acceptance of our broker certification together with the accepted text version, your IP address, and your browser user agent.
3. Documents you upload
If you use our POOLFAX verification service, we collect the financial documents you choose to upload, which may include monthly statements, profit and loss statements, bank statements, tax returns, and software exports. These documents are stored in a private, access-controlled bucket. They are visible only to you and to our administrators for review purposes. We never display your documents publicly. See Section 5 for how these documents are analyzed and Section 9 for how long we keep them.
4. Information collected automatically
When you use the site we automatically collect standard technical data: IP address, browser type and user agent, device information, pages viewed, referring pages, and interaction events (for example, listing views, inquiry submissions, and calculator use). We use cookies and similar technologies for authentication, security, preferences, and analytics. Analytics and advertising cookies load only if you accept them in our cookie banner. You can change your choice anytime via the Cookie preferences link in the footer.
5. Automated analysis and artificial intelligence
We use automated systems, including third-party artificial intelligence services, to operate parts of the platform. Specifically: documents uploaded for POOLFAX verification are analyzed by AI and document-forensics tools to summarize contents, detect anomalies, and generate a risk estimate that helps our human reviewers evaluate a verification request; and we may use AI to help generate or improve listing descriptions at a seller's request. AI outputs are estimates, not determinations. A human reviews verification decisions. We do not permit our AI service providers to use your documents to train their models under the terms of our agreements with them. If you do not want your documents processed this way, do not use POOLFAX; it is optional and does not affect your ability to list or buy.
6. How we use information
We use the information we collect to operate the marketplace (publishing listings, routing inquiries, delivering messages); to review and approve listings and verification requests; to process payments and subscriptions; to send transactional emails such as inquiry notifications, listing status updates, and billing notices; to send marketing emails you signed up for, which you can leave at any time via the unsubscribe link; to maintain security, prevent fraud and spam, and enforce our Terms of Use; to comply with legal obligations; and to understand aggregate usage so we can improve the product.
7. Who we share information with
We do not sell your personal information. We share information with: service providers who run our infrastructure, including Supabase (database, authentication, file storage), Stripe (payment processing; Stripe receives your payment details directly and we never store full card numbers), Resend (email delivery), and AI analysis providers described in Section 5; other users, but only what the product requires - your listing content is public once approved, and when you send an inquiry or message, its contents are delivered to the listing's seller or broker along with the contact details you include; professional advisors, law enforcement, or regulators when legally required; and a successor entity in the event of a merger, acquisition, or asset sale, in which case this policy continues to apply to your information.
8. External listing data
Our marketplace index may include listings sourced from publicly available websites. These listings are labeled with the name of the site they came from, and we remove personal contact details from the listing text; buyers reach out through our platform rather than directly. If you are named in an externally sourced listing, or you operate a site whose listings appear in our index, and you want a listing removed or corrected, contact hello@poolroutemarketplace.com or use the removal request link on the listing, and we will process the request within 3 business days.
9. How long we keep information
Account data is kept while your account is active. Listings and messages are retained to preserve marketplace integrity and dispute records. POOLFAX verification documents are deleted no later than 90 days after the related verification expires, is rejected, or is withdrawn; you may also delete your own uploaded documents at any time from your verification workspace. Email signup records are kept until you unsubscribe. Broker certification records, including the IP address and user agent captured at acceptance, are retained for the duration of the broker relationship plus the period required for legal defense. We may retain limited data longer where required by law, for tax and accounting, or to resolve disputes.
10. Your rights and choices
You can access and update your account information from your dashboard, delete documents you uploaded to POOLFAX, unsubscribe from marketing email via the link in any message, and request a copy, correction, or deletion of your personal information by emailing hello@poolroutemarketplace.com or using the request form on this page. Depending on where you live, including California, Colorado, Connecticut, Texas, Virginia, and other states with consumer privacy laws, you may have specific rights to know, access, correct, delete, and limit certain processing of your personal information, and the right not to be discriminated against for exercising them. We honor these requests regardless of state. We will verify your identity before fulfilling a request and respond within the time required by applicable law. We do not sell or share personal information for cross-context behavioral advertising; if that ever changes, we will update this policy and provide an opt-out first.
11. Security
We protect information with access controls, row-level security on our database, private storage buckets for uploaded documents, and encrypted connections. No system is perfectly secure; if we learn of a breach affecting your personal information, we will notify you as required by law.
12. Children
The platform is for business use by adults. We do not knowingly collect information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
13. Changes to this policy
When we make material changes, we will update the version and effective date at the top of this page and, for significant changes, notify account holders by email. Continued use of the platform after changes take effect means you accept the updated policy.
